5 signs your business IT is quietly costing you money
The waste in most small-business IT isn't dramatic — there's rarely one big, obvious leak. It's a dozen small ones: a subscription nobody cancelled, the same number typed into three systems, an afternoon lost every week to a clunky process. Individually they're easy to ignore. Together they add up to real money and real hours. Here are five signs worth looking for.
1. You're paying for tools you don't really use
Software subscriptions are designed to be easy to start and easy to forget. Over a couple of years most businesses accumulate overlapping tools — two apps that both do invoicing, a project tracker nobody opens, seats for people who left. Pull your last twelve card statements and list every recurring charge. It's common to find 15–30% of that spend is on things you could drop or consolidate tomorrow.
2. The same information gets typed in more than once
If a customer's details are entered into your quoting tool, then again into your accounts package, then again into a spreadsheet, that's not just wasted minutes — it's where errors creep in. Any time a human is copying data between systems, there's usually an integration, an import, or a simpler single tool that removes the step entirely.
3. "That's just how we've always done it"
Manual workarounds have a way of becoming permanent. Someone built a process around a limitation that no longer exists, and years later the team is still following it. These are often the highest-value fixes because the cost is hidden in habit. If a task feels tedious and repetitive, it usually is — and repetitive is exactly what computers are for.
4. Nobody's quite sure where things are backed up
Ask where your critical data lives and how it's backed up. If the answer is vague, that's not an efficiency problem — it's a risk sitting on your balance sheet. The good news is that modern, secure backup is cheap and largely automatic once it's set up properly. The expensive version is the one you discover you didn't have after something goes wrong.
5. Your tools don't talk to each other
Disconnected systems force your team to be the glue — exporting, reformatting, re-uploading. When your website, enquiry form, calendar and accounts actually connect, whole chunks of admin simply disappear. Often the pieces you already pay for can be joined up; you just need someone to wire them together.
